Formula
Example
A caterer can quote 300 guests × Rs 1,800 per head plus 16% service tax with a 15-day validity.
What makes a quotation win work
- A clear title and the customer’s name
- Each item or service described in plain words
- Prices, tax and total shown openly
- Validity date, delivery time and payment terms
- Your contact details and a short thank-you
Set a validity date
Prices for steel, electronics and imported goods change quickly. A quotation valid for 7 or 15 days protects you if costs rise before the customer confirms.
Follow up
Send the quote as a PDF on WhatsApp, then follow up after two or three days. Many sales are lost simply because nobody followed up.

Frequently asked questions
Can I turn a quotation into an invoice?
Open the Invoice Generator — your business details are kept separately, so re-type the items there.
What is the difference between a quotation and an invoice?
A quotation is an offer before the sale. An invoice is a bill after the customer agrees or receives the goods.
Should a quotation include tax?
Yes, show tax separately so the customer knows the final price.
